This Privacy Policy explains how Indexial Technologies ("we", "us") handles information in the FieldForce mobile and web application ("FieldForce" or the "Service"). FieldForce is a private, enterprise sales-force-automation application made available to employees and authorized users of organizations that license it ("your organization"). Accounts are created and managed by your organization's administrator; there is no public sign-up.
1. Who controls your data
For users provisioned by an organization, your organization is the data controller and we process data on its behalf. Questions about your organization's use of FieldForce should go to your administrator; questions about the app can be sent to invexbook@gmail.com.
2. Information we collect
- Account & profile: name, work email, role, employee/territory identifiers and organization (tenant) - for sign-in, role-based access and reporting.
- Precise location: GPS coordinates at check-in, Day Start/End and location updates during working hours - to verify visits at the client's premises, geo-tag attendance and enable manager/admin live tracking.
- Photos: camera-only, watermarked selfies and shop/visit photos as proof of visit and attendance.
- Work activity: Daily Call Reports, orders, samples, POB, gifts, prescription audits, competitor notes, tour programs, plans, expenses, leaves, messages and support tickets.
- Device & diagnostics: app version, device model/OS, connectivity state and crash/diagnostic data.
The app uses the camera only (no photo-gallery access) for proof capture.
3. Location, in detail
FieldForce uses precise (GPS) location to (a) confirm a visit is filed inside the client's geo-fence, (b) record geo-tagged attendance, and (c) share a rep's position with their manager/admin during working hours. Location is collected while you use the app for work. It is not sold and not used for advertising.
4. Biometrics & PIN
If you enable quick unlock, biometric authentication is performed by your device's operating system; biometric data never leaves your device and is never sent to us. Any PIN is stored only as a salted hash on the device.
5. How we use information
To provide and secure the Service, verify visits and attendance, enable manager/admin oversight and approvals, generate reports and analytics for your organization, deliver notifications and provide support. We do not use your information for advertising and do not sell it.
6. Sharing
We share information with: your organization (as controller); service providers/sub-processors that host and operate the Service under contract; and authorities where required by law.
7. Security
Data is encrypted in transit (HTTPS/TLS). Access is restricted by role and tenant. On-device data is protected by the operating-system sandbox, PIN/biometric lock and salted hashing where applicable.
8. Data retention
We retain information for as long as your organization's account is active and as required for the purposes above or by law. On your organization's request, data is deleted or returned per the service agreement.
9. Your rights
Depending on your jurisdiction, you may have rights to access, correct, delete or restrict use of your personal data. Because your organization controls the account, please make requests through your administrator or contact invexbook@gmail.com.
10. Children
FieldForce is a workplace app, is not directed to children, and is not intended for anyone under 18.
11. Changes
We may update this policy; material changes will be posted here with a new effective date.
